Managing Asset Types

HappyFox Asset Management makes it easy for admins to group or categorize assets into multiple asset types and customize each of them based on need. 

Asset Types

Asset types give you the flexibility to categorize and customize the assets. For example, Hardware, Software, Peripherals, Accessories etc. can be created as Asset Types. Also, exclusive  custom fields for each of these asset types can be created.

 

Creating Asset Types

Asset types give you the flexibility to categorize and customize the assets. For example, Hardware, Software, Peripherals, Accessories etc. can be created as Asset Types. Also, exclusive  custom fields for each of these asset types can be created.

 

  1. Navigate to Main Menu > Assets > Asset Types
  2. Click on the “+” create button at the top.
  3. Create asset type form will load in the right panel.
  4. Provide Asset Name, Description and choose necessary Settings and click on Save
  5. The newly created asset type will be available in the list view.

Asset Type Settings

The following three settings will be available for each of the asset type, which can be enabled/disabled based on the business needs, they are 

  1. Contact Association - Enabling this setting will allow the assets to be linked to one or more contacts.
  2. Ticket Association - Enabling this setting will allow the assets to be linked to one or more tickets.
  3. Asset Quantity on Tickets - Enabling this setting will allow you to specify the quantity of assets related to the ticket when linking assets.

 

 

Asset fields for Asset Types

Once the Asset types are defined, custom fields can be added and customized for each and every asset type separately. When you navigate to Assets > Asset fields, the Asset types will be displayed as separate tabs at the top. (refer screenshot). Clicking on an Asset type tab at the top will display all the custom fields created for that type below.
 

 

Click on the “+” button to start creating custom fields for the required asset type.

Asset Import

  • Assets can be imported by clicking on the Import Assets button.
  • While bulk importing assets choose the required asset type in the Select Asset Type dropdown to which you want to import the assets to. 
  • A CSV sample import file template can be downloaded to refer to the columns that need to be present when importing the asset data. Refer screenshots below

Asset Export

  • Assets to a specific asset type can be exported by clicking on the “Download Report” button.
  • Once the export file is ready an email with the link to download the assets will be sent to the respective email address.
  • The link to download will be valid only for 5 minutes from which it was delivered.
  • The export file name will have the asset type name, month and date on which the export was generated.

Reports based on Asset types
All asset related reports can be filtered based on the Asset Types configured within the asset module. Reports like assets linked to tickets, assets usage across tickets etc, can be filtered based on asset types.

 

 

Default asset types and assets for new accounts
For new HappyFox help desk accounts, two sample asset types Hardware, Software and a couple of sample assets will be created within their asset module. The sample assets will have a prefix [Sample] added to the asset name to differentiate them from other assets.
