Linking Assets with Contacts

HappyFox allows you to link contacts with assets in your helpdesk.

Points to be noted 📝:

  • Asset↔️Contact Link is independent of Asset↔️Ticket Link. Learn more about Asset↔️Tickets Links here.
  • Asset↔️Contact Links can be established in two different areas of HappyFox App:
    • Asset details Page.
    • Contact Details Page.
  • From Assets details page Edit Sidebar, you can link multiple contacts to an asset.
  • From Contact Details Page, you can link multiple assets to a contact.

Managing Linked Assets from Asset Details Page ⚙️: 

  • Log in to your agent portal.
  • Click Assets from the module switcher.
  • Click on the desired asset to open its "Asset Details Page".
  • Click "Edit".
  • Choose to add/remove contacts you would want to link.
  • Click "Save".


Permissions Required 🔐: Agents need "Manage Assets" permission to view the Assets page.


Warning ⚠️: If you don't have Manage All Contacts permission defined for your role, you will only be able to link assets to contacts who have created tickets in the categories you have access to.


Important Note ❗: You can use "Asset Import" to add contact links to assets. Follow the linked article to discover how.


Managing Linked Assets from Contact Details Page ⚙️ :

  • Log in to your agent portal.
  • Click Contacts from the module switcher.
  • Go to the desired contact details page.
  • Find the list of currently linked assets to the contact. Expand an asset to view its asset custom field values.
  • Click "+" to create a new linked asset for the contact.
  • Click "Trash icon" to de-link the asset from the contact.

If you try to link a contact to an asset which already has different contact links, HappyFox displays a confirmation dialog 💫.

Important Note ❗: You cannot use "Contact Import" to add asset links to contacts. You must do this process manually.


Viewing Linked Assets in Contacts List Page 👀:

  • Log in to your agent portal.
  • Click Contacts from the module switcher.
  • In the table view switcher, select "Custom View".
  • Ensure you  ☑️ "Assets" checkbox.
  • Hover over the asset value in each row to know about the list of assets linked to the contact.
