This article describes the fields and filters on the Workflow Audit Logs page, so you can trace who changed a workflow, when, from where, and what changed.
Note: This is the audit log for HappyFox Workflows and only tracks changes made to workflows and tables. It is separate from the Audit Logs feature in HappyFox Help Desk, which tracks changes made in the help desk.
Applicable Plans: Available on all plans.
Available fields
The Workflow Audit Logs page has two areas: a filter bar and a results table.
Filter bar
- Module — Selects which module's logs to display. Options: Workflows, Tables.
- Time Range — Scopes the results to a date range. Options: Today, Yesterday, This Week, Last Week, This Month, Last Month, This Year, All Time.
- Workflow Name — A search field that filters results to a specific workflow by name.
Results table
- WHEN — The date and time the change was made.
- WHERE — The IP address the change was made from.
- ACTOR — The email address of the user who made the change.
- WORKFLOW NAME — The affected workflow, shown as a link that opens the workflow, along with its trigger — for example, manual trigger, ticket created trigger, or ticket updated trigger.
- ACTION — A description of the change, such as a workflow being created, a workflow step being created, updated, or deleted, or a specific field value being updated. Where a View Changes link is present, it opens a detail drawer showing the before and after values for that step.
Note: Not every action includes a View Changes link. Field-level changes, such as a step being renamed, typically include one; broader events, such as a workflow being created, do not.
Note: Workflow Audit Logs are retained indefinitely. Selecting All Time from the Time Range dropdown returns the complete history for the module and workflow you've selected.
How to use it
- In HappyFox Workflows, click Audit Logs in the left navigation menu.
- Select Workflows or Tables from the Module dropdown.
- Select a date range from the Time Range dropdown.
- Optionally, enter a workflow name in the Search Workflow field to narrow the results to a specific workflow.
- Review the results table to identify the change you're looking for. Each row shows when the change happened, the IP address it came from, who made it, and which workflow was affected.
- Click View Changes, where available, to see the specific before and after values for that step.
Note: All agents can view the Workflow Audit Logs page. There is no separate permission required.
Workflow Audit Logs shows configuration changes — who edited a workflow and what they changed. It does not show whether a workflow ran successfully on a given ticket. If you're troubleshooting a failed or unexpected run rather than a configuration change, see how to use Run History to debug workflow issues instead.
