📧 How to Set Up Gmail SMTP Using App-Specific Passwords

You can configure your email channels to route through Gmail SMTP using your own Google Workspace account. This enables sending emails from HappyFox, by leveraging Gmail’s secure infrastructure.

 

To use Gmail SMTP in your HappyFox help-desk account email channels an App-Specific Password is required. Follow the steps below to set this up.

 


🔧 Step 1: Enable 2-Step Verification on Your Google Account

Before generating an app-specific password, make sure 2-Step Verification is turned on.

  1. Go to Google Account Security Settings.

  2. Under “Signing in to Google”, click on 2-Step Verification.

  3. Click Get Started and follow the prompts to enable it using your phone.
     


🔐 Step 2: Generate an App-Specific Password

  1. Visit the App Passwords section of your Google Account:
    https://myaccount.google.com/apppasswords

  2. Sign in again to verify your identity.

  3. Under “Select app”, choose Other (Custom name).

  4. Enter a name and click Generate.

  5. Google will show a 16-character password. Copy this—you’ll need it in the next step.

⚠️ Note: You will not see this password again after you close the window. Be sure to copy and store it securely.

📤 Step 3: Configure Gmail SMTP in Your Email Settings
1. Login to HappyFox as an agent/administrator

2. Go to Main Menu > Channels > Click the three dots menu of the channel > Configure SMTP

SMTP options appear as shown below



2. Use the following SMTP settings:

Setting

Value

SMTP Host Name

smtp.gmail.com

Port Number

587 (for TLS) or 465 (for SSL)

Security Protocol

Choose TLS or SSL from the dropdown

Username

Enter the full email address: Eg.support@happyfox-cloud.com

Password

Input the 16 digit app password

3. Click Save and Test.

✅ You're All Set!

Once you’ve saved your SMTP configuration using the app password, all ticket replies for this channel are securely sent via Gmail SMTP from within your application or service.


❓ Troubleshooting Tips

  • If sending fails, ensure:

    • The app password is correct (no spaces).

    • TLS/SSL is enabled - Try both TLS and SSL with their respective port numbers

    • You haven’t exceeded Gmail’s sending limits.

  • You can generate a new app password if needed from the same page.
