Integrating Workflows with Asana

Integrating Workflows with Asana allows for seamless automation and task management, streamlining processes and improving efficiency. This article provides step-by-step instructions on how to establish the connection between Workflows and Asana, activate triggers, and build Asana actions within Workflows.

 

Establishing Connection:


1. Open your Workflows account.
2. From the left menu, click on "Apps."
3. Select "Asana" from the list of available apps.
4. Click on "Authorize Asana" and grant the necessary permissions.
5. Once authorized, the connection between Asana and Workflows is established.

 

Activating Triggers:


1. To activate triggers, navigate to the Establish Triggers section on the Asana app page.
2. Choose the workspace, project/ portfolio, and trigger type.
3. You can choose one or more triggers. The trigger types include:
   - Task Created
   - Task Changed
   - Subtask Created
4. 'Task Changed' is an instant trigger, so the workflow would receive webhook information immediately after the trigger event occurs. 
5. 'Task Created' and 'Subtask Created' are scheduled triggers, which will periodically check Asana for new tasks/subtasks created and fetch that information back to Workflows.

6. When selecting Portfolio (a group of projects) for trigger configuration, it's important to note that instant triggers are not supported. Only scheduled triggers can be utilized at the portfolio level. This means that for Portfolio triggers, such as Task Created or Subtask Created, the workflow will periodically check for new tasks or subtasks created within the portfolio rather than receiving immediate webhook information. 
7. Select the desired trigger(s) and save the trigger settings for Asana.

 

Building Workflows with Asana Actions:


1. Open a workflow where you want to integrate Asana actions.
2. Choose the required trigger under Asana from the dropdown.
3. Select Actions under Asana from the dropdown.
4. Customize the actions as needed to automate tasks within Asana.


By following these steps, users can seamlessly integrate Workflows with Asana, enabling automation of tasks and workflows.
