How to delete old tickets automatically?

With Automatic Ticket Deletion, you can configure HappyFox to automatically delete closed tickets that are older than a configurable number of days. HappyFox lets you configure the period and the statuses of the tickets that need to be considered for applying this deletion rule.

Navigation:

Go to Manage >> Data Privacy. 

 

Permission Alert: Only agents with "Manage Data privacy" can view this submodule.

 

Automatic Ticket Deletion:

  • Click on the "+" icon under Data deletion (Tab) >> Automatic Ticket Deletion. 

  • Creation Form explained:

    • Name: This will be the ticket deletion rule name. The ticket deletion log will show this rule name if it was deleted automatically by a rule over an agent name. 

    • Description: Add more description for your agents to understand when this rule will run. 

    • Ticket older than: If you would want to delete all closed tickets that are older than 6 months, then you should choose the "6 Months" period here. 

    • Select Statuses: Only tickets that are in this chosen statuses will be considered for deletion. You can only choose "Completed" behavior statuses. 

    • Associate categories: Only tickets in the selected category will be considered for ticket deletion. 

    • How the deletion rule is built: Automatic ticket deletion will apply for <Select status> tickets that are older than <tickets older than value> and is in <associated category> category. In other words, Closed tickets that are older than 6 months and are in the Spam category will be deleted automatically. 

    • The review page lets you review the deletion rule created, the number of tickets that are eligible for ticket deletion at that instant and deletion notice which explains the consequences of creating this deletion rule. 

 

Impact of automatic ticket deletion: 

  • This action cannot be reverted. 
  • Deleted tickets cannot be retrieved by HappyFox. 
  • Deleted tickets will be excluded from report statistics.
