Enforcing stronger email sender requirements in HappyFox

Important Announcement: Gmail and Yahoo Mail have announced new, stricter requirements for bulk email senders. These new email requirements aim to improve email security and reduce spam. More details can be found here,

What this means to you?

Jan 30, 2024 - HappyFox enforced the admins to implement stronger email authentication mechanisms such as SPF, DKIM and DMARC for their email channels. We request Admins to complete the below activity by March 27th 2024 to avoid any disruptions to email delivery. 

 

March 28, 2024 - Outgoing emails will be sent using notifications@subdomain.happyfox.com as the From Address for email channels that are not SPF/DKIM/DMARC compliant. Recipients can still send ticket responses by replying to these emails.

 

Note: The subdomain in notifications@subdomain.happyfox.com is the HappyFox account name. Eg. If the account name is acme, then the sender is notifications@acme.happyfox.com

 

What needs to be done in HappyFox account?

If you are using your domain email address(es) as email channel(s) to send out email notifications to your customers then, 

  • For existing email channels: Admins should review their existing custom email channel settings and ensure SPF and DKIM are verified. It is also necessary for admins to configure DMARC for any custom email domains that are part of their email channels. Please refer below articles 
  • For new email channels: Admins will be required to configure both SPF and DKIM settings for their custom email channels to work as expected.
  • We no longer support setting Gmail & Yahoo email ids as outgoing email channels. We recommend using your business email domain instead. 

 

Fallback for Email Delivery

  • If SPF and DKIM setup is not done for your emails channels, your email deliverability will have a direct impact.
  • Emails from your account may not be delivered to your Contacts, Agents, Admins or any intended recipient.

  • If you continue to use Gmail & Yahoo email addresses as outgoing email channels, the From Address will be in set to notifications@subdomain.happyfox.com (or .net for EU accounts).

Note

1. If SPF and DKIM setup for the primary custom email channel(s) is not complete.

2. If the SPF or DKIM verification is pending.

3. If the DMARC is not aligned. [DMARC - Domain in From address, SPF - Domain used to authenticate the sending IP, DKIM - Domain has hosts public key]

and try to send 5000 or more outgoing mails per day from Happyfox,

 

In all of the above scenarios, we will use the fallback mechanism to deliver the outgoing emails to the recipients,

  • First, we will check if SPF and DKIM setup is set for the Account level fallback email channel [Default Outgoing Channel] if so, then the outgoing emails will be delivered from the default fallback email channel.
  • Next, if the above is not met, then the outgoing emails will be delivered from notifications@subdomain.happyfox.com (or .net for EU accounts).
